Unofficial WhatsApp in hospitality: the real risks of bans and disruptions

Meta has stepped up the banning of accounts that use unofficial systems, turning an apparent saving into an imminent loss that can bring your hotel’s bookings to a halt.

WhatsApp number bans have become an increasingly common reality for companies that opt for “parallel” and unauthorized solutions. It is clear, then, that the official WhatsApp API has stopped being a technical choice and has become a business continuity decision.

Since January 2026, Meta has tightened its detection of unauthorized connections and started banning numbers. For a hotel, the math is straightforward. The property’s WhatsApp number carries conversation history, contact base, live campaigns, and open negotiations. Losing that number is not an IT setback, it is losing the channel where direct sales happen.

This article details the technical difference between the two approaches, the legal and operational risks of the unofficial version, the signs that identify an unreliable provider, and what the official API actually delivers, including what it does not do. All in line with the evolution of hotel technology that the industry has been following.

Official vs. unofficial API: the technical difference that defines the risk

The difference is not about brand or price. It is about how the connection happens.

Official API (WhatsApp Business Platform). This is the route authorized by Meta, contracted through a Business Solution Provider, the BSP. The connection happens between servers, in the cloud, with authentication registered in Business Manager. No mobile phone needs to stay switched on.

Unofficial API. These are solutions built through reverse engineering of WhatsApp Web. They simulate a human user operating the app in a browser. Several commercial platforms in Brazil are built on top of them. Modified versions of the app also fall into this category, circulating as an alternative “with more features” and breaching the terms in exactly the same way.

What changed in 2026 is detection. As of January 15, 2026, Meta began applying stricter blocks against unauthorized tools, analyzing not only sending volume but the technical signature of the connection: traffic patterns, cadence between actions, and IP geolocation.

The scale of the enforcement helps put the risk in perspective. Meta itself reported that more than 6.8 million accounts were banned on WhatsApp between January and June 2025, a large share of them for using non-approved tools and sending bulk messages without recipient consent. And that was before the 2026 tightening.

One clarification that avoids a common misunderstanding: paying for the platform does not make the connection official. There are paid solutions, with a well-built interface and commercial support, that connect via QR Code underneath.

Checklist: how to identify an unofficial API provider

  • It asks you to scan a QR Code with the hotel’s phone. Red flag, and the most reliable indicator of all.
  • It requires a phone permanently switched on and connected to the internet. Red flag, the official API does not depend on a device.
  • It charges a low flat fee, with no charge per conversation or message. Warning sign, because Meta charges the BSP per message delivered and that cost shows up somewhere on the bill.
  • It promises to “warm up the SIM” to avoid blocks. Red flag, this is a practice from the unofficial world and it does not protect against current detection.
  • It asks you to install an alternative version of the app. Red flag, GB WhatsApp, WhatsApp Plus, and similar are modified apps and breach the terms of use.
  • It does not appear in Meta’s partner directory. Red flag, every legitimate BSP is listed.

If the answer is yes to any of these items, your hotel’s number is exposed today.

The 5 risks of using an unofficial API at your hotel

The initial saving hides risks that cost far more than the difference in monthly fees.

1. Permanent ban of the number

This is the most serious risk and the least reversible. Meta detects the unauthorized automation and bans the number with no prior warning, taking the conversation history and the contact base with it.

In 2026, more than 90% of bans for use outside the terms are permanent, and manual appeals are no longer accepted for these cases. Switching the account while keeping the same number also fails after the block.

Translated into operations: the hotel wakes up without the number printed on its materials, in its ads, on Google, in its email signature, and in the mind of everyone who has already stayed there.

2. Breach of LGPD and GDPR

An unofficial API sends traveler data through third-party servers with no data processing agreement, no audit trail, and no access control. That puts the hotel directly at odds with LGPD, Brazil’s data protection law, and GDPR, its European equivalent. Names, ID documents, stay dates, and payment information circulate through infrastructure the hotel cannot audit or hold accountable.

From a legal standpoint, the hotel remains the controller of that data. Liability does not transfer to the vendor.

Only the official API, used correctly, provides the structure to meet GDPR and LGPD requirements, with consent records, opt-out management, and access levels per user.

3. Instability and lost messages

Because they rely on reverse engineering, these solutions break with every WhatsApp update. The operation goes down for hours or days, with no estimated fix, and nobody on the hotel’s side can open a ticket with Meta because the connection does not officially exist.

The cost here is not technical. It is the traveler who asked for a quote on a Friday night and got no reply.

4. Compromised traveler experience

Native features of the official platform do not work, or work poorly, in parallel solutions: quick reply buttons, lists, media carousels, approved templates, and conversational components. The result is slower, more manual service, with the agent typing what should have been automated.

5. Damage to brand reputation

A banned or unstable number signals amateurism at the exact moment the traveler is deciding where to spend their money. Add to that the impossibility of obtaining the Official Business Account badge, available only to qualified brands on the official platform, and the hotel loses a trust signal precisely at the negotiation stage.

What the official API delivers, and what it does not do

The official WhatsApp API is highly versatile, and systems built on it can deliver a wide range of features and far more value to their clients.

What the official API delivers:

  • Multiple agents on a single number, with automatic conversation distribution, unified history, and control over who handled and who sold.
  • Data governance compatible with LGPD and GDPR, following Meta’s compliance policies, with an audit trail and per-user access control.
  • Connection stability, because the integration runs in the cloud, between servers, and does not depend on a device switched on at the front desk.
  • Integration with booking engine, PMS, and CRM, which enables automated quotes with real availability, payment link delivery, and WhatsApp campaigns run safely.
  • Voice calls through the API itself, a capability Meta has released that today allows you to receive calls from travelers inside WhatsApp. Hotel-initiated calls are available in most markets, with exceptions such as the United States and Canada, and require the number to already have a high messaging limit.
  • Official Business Account badge for qualified brands, plus formal support through the BSP and Meta.

What the official API does not do, and you need to know before signing:

  • It does not eliminate 100% of the restriction risk. The official API greatly reduces the risk, but a number with many spam reports can have its sending limited. The difference is in the process: with legitimate use, Meta flags the drop in the number’s quality, then reduces the daily messaging limit, and only then applies harsher restrictions. It is not the instant, no-appeal ban of the unofficial model.
  • It does not turn WhatsApp into a bulk messaging channel. Outbound messages outside the 24-hour window require a Meta-approved template and are charged per message delivered.
  • It does not deliver everything at once in every operating mode. The choice between running only through the API or keeping the app in parallel changes what is available, and that is what the next section explains.

The table reads simply: the unofficial API is a risk liability on the operation’s balance sheet, and the official API is infrastructure.

Before migrating: which number to use

There are four paths, with different implications.

A new dedicated SIM. The cleanest option. The number is born focused on reservations, and the old number keeps groups, suppliers, and internal communication. If you go with a prepaid plan, watch the carrier’s maintenance policy, because going a few months without a top-up can cost you the number.

The hotel’s landline number that does not have WhatsApp yet. This works well and takes advantage of a number travelers already know. If there is an IVR on that extension, it needs to be temporarily switched off to receive the verification code.

Your current WhatsApp Business number. This is the Coexistence path, with the advantage of preserving the number the market already knows and the possibility of bringing recent history across. In exchange, you give up having a spare number as a plan B and accept the limitations of hybrid mode described above.

Migration from another BSP. If the hotel already runs the official API with a different vendor, the number can be ported using access to the Business Manager that hosts the current API.

One planning note for hotel groups: Meta limits activation to a few numbers per day per Business Manager account, because of the sending limit for verification codes. A group with ten properties will not activate everything in one afternoon, the schedule will stretch over a few days.

How Asksuite ensures security and performance with the official API

Asksuite works with an official Meta provider and operates exclusively with the official WhatsApp API. There is no QR Code mode on the platform, which means the hotel’s number is not exposed to the kind of ban described in this article.

There is also a layer that often goes unnoticed: managing the health of the number. At Encatho & Exprotel, Rodrigo Teixeira, CEO of Asksuite, presented data that explains why this became a priority. According to him, 18% of users block unknown companies before even opening the message, and each number receives a maximum of two messages from unknown contacts per day.

These figures come from an Opinion Box survey, which brings a third equally relevant data point: 69% of Brazilians consider WhatsApp an appropriate channel for talking to companies, but 59% reject automated replies.

The combination of the three explains the mechanics of the risk. Generic automation irritates, irritation turns into blocks, blocks bring down the Quality Rating, and a falling Quality Rating reduces your messaging limit. This is not a question of service aesthetics, it is a question of operational capacity. That is why AI needs to understand hospitality context and hand over to a human at the right moment, instead of replying by keyword.

Two calendar changes are worth noting, since they affect the cost of the channel. Meta has confirmed price updates for service, utility, and Meta Business Agent messages on August 1 and October 1, 2026. And billing in Brazil has been localized: since July 2026, accounts can be created in reais, billed by Meta’s local entity, and the migration to BRL must be completed by June 30, 2027.

Operating on the official API is what gives you the predictability to keep up with this kind of change instead of being caught off guard by it.

How do I know whether my hotel uses an official or unofficial WhatsApp API?

The main sign of an unofficial API is the need to scan a QR Code with a phone that has to stay switched on and connected at all times. Official providers set up the integration through Meta’s Business Manager, with no dependency on a physical device. If you are unsure, ask your vendor whether it is a BSP listed in Meta’s directory.

What happens if my hotel’s number is banned?

You lose access permanently, including conversation history and contact list. Appeals for use outside the terms are no longer accepted in most situations, and switching the account while keeping the same number does not work either. In practice, the hotel starts its communication from scratch with a different number.

Do I lose my conversation history when migrating to the official API?

Not necessarily. In the Coexistence flow, where the WhatsApp Business app number is connected to the Cloud API, you can sync up to 180 days of individual conversations along with your contacts, as long as the hotel authorizes it at the moment of connection. Group conversations do not come across, media only from the last 14 days, and the provider needs to have that flow implemented. Confirm with your vendor before signing.

Is using the official WhatsApp API compliant with LGPD and GDPR?

Yes, and it is the only way to use WhatsApp compliantly for business communication. It offers consent records, opt-out management, per-user access control, and an audit trail. Compliance also depends on how the hotel uses the channel, not only on the technology.

Are WhatsApp Business and the WhatsApp API the same thing?

No. WhatsApp Business is a free app for small companies, with a device limit and no advanced automation. The WhatsApp API, or WhatsApp Business Platform, is the solution for operations with volume, accessed through a BSP partner such as Asksuite. It is also possible to run both in parallel, in Coexistence mode.

What does it cost to use the official WhatsApp API?

There are two components: what Meta charges per message delivered, which varies by country and template category, and the monthly fee for the BSP partner’s platform. Meta updates prices only on the first day of each quarter, with at least one month’s notice, which gives you predictability for planning.

Does the official API completely eliminate the risk of being blocked?

No, and be wary of anyone who claims it does. The official API greatly reduces the risk, but a number with many spam reports can have its sending restricted. The difference is in the process: with legitimate use you receive signals of quality drops and messaging limitations before any harsher measure, which gives you time to correct course. Can my hotel be fined for using an unofficial API?
